HR & Payroll Administrator -
Montreal

Job description

We are a Canadian owned and operated company dedicated to helping healthcare professionals provide exceptional care to their patients. We are currently seeking an HR and Payroll Administrator to join our dynamic team. This role is ideal for a detail-oriented professional who is able to work with minimal supervision and has excellent organizational and communication skills.

Key Responsibilities:

The HR & Payroll Administrator is responsible for managing payroll processing, HR documentation, confidential records, and assisting with recruitment. Additionally, the position provides administrative support to the management team.

​

Payroll & HR Administration

  • Process biweekly payroll accurately and on time using ADP software, ensuring compliance with company policies and regulations.

  • Prepare and manage HR contracts, offer letters, and other employment related documentation.

  • Maintain confidential employee files, contracts, and HR records in a secure and organized manner.

  • Respond promptly and professionally to employee inquiries regarding payroll, pay stubs, and leave balances.

  • Assist with employee on-boarding and off-boarding processes, ensuring all necessary documentation is completed.

  • Administer group insurance plans, including enrolments, terminations, and updates.

  • Post job openings on Indeed and other job boards, and manage applications and assisting with initial screening.

Reporting & Compliance

  • Prepare and distribute T4 and Relevé 1 forms annually.

  • Issue Records of Employment (ROEs) for departing employees as required.

  • Ensure compliance with federal and provincial payroll regulations, including taxation, deductions, and reporting requirements.

Expense Management

  • Process and track expenses for the sales team, ensuring proper documentation and approvals.​

​

Administrative Support

  • Handle confidential mail, agreements, and document storage.

  • Provide general administrative support to the management team.

 

​Qualifications & Requirements:

  • Education: Diploma or degree in Business Administration, Human Resources, Accounting, or a related field is preferred.

  • Experience: Minimum of 8–10 years of experience in HR administration, payroll or financial administration.

  • Previous experience in small business is a definite asset.

  • Bilingualism: Fluency in both English and French (verbal and written)

  • Strong knowledge of payroll systems and federal and provincial employment laws

  • Excellent organizational and multitasking skills.

  • Proven experience with hands-on involvement and excellent problem-solving skills

  • Strong attention to detail and confidentiality.

  • Ability to prioritize, meet deadlines, and handle multiple tasks in a fast-paced environment with minimal supervision.

  • Experience with accounting or payroll software is an asset.

  • Effective communication and interpersonal skills.

  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
